Defer


Welcome to the 5th of five posts on cleaning out your inbox for #‎CleanInbox week. In this final installment we're going to talk about what you're going to do with all of the emails you have left over after you've deleted, delegated or done your emails.

Up until a few days ago I would've told you to just create a followup folder in your inbox and to setup reminders to look at them. But I got an email from Linda Arrowwood, who's in my SendOutCards downline, about a webinar on Evernote. She asked me if I used Evernote and I told her no. I'd heard of it and had downloaded it about 2 years ago. But after watching the webinar, I was sold on using Evernote to store everything, including deferred emails. This is a tool I'm adding to my SYSTEM toolbox. Thanks Linda!

What is Evernote and why am I using it to store deferred emails? Evernote is a tool (an app, as well as a website) for storing, organizing and accessing almost anything! You can save a website, photo, email…practically anything and then store it into a "notebook". And then search for the info with a very powerful search engine (which will also search the words in your photos!). There are two main reasons that I like Evernote for storing deferred emails. 

  1. You get an email address with your Evernote account so you can forward your emails to it easily
  2. You can easily setup reminders to let you know it's time to followup with your email

On the right is an email that I wanted to defer, about a webinar by my friend Michele Reynolds. I wanted to attend the webinar but I didn't have time to look at the details at the time, so I forwarded it to Evernote. Even though I didn't do it with this email, I could've set a reminder (clock icon in upper right corner) to remind me to look at this later. I was driving at the time of this webinar last night so I couldn't watch it, but I'll check out the replay.

Evernote is also excellent for storing the emails you want to keep for reference. I highly recommend the webinar by Steve Dotto. It lasts an hour but it's worth it!

Just do it!


You've deleted all of the emails that you don't need to take action on, or that you don't need to save for reference. Then you delegated as much of the email that you have left to somebody else to take action on. Now what? If it's going to take more than 2 minutes to deal with an email, then defer it. But if it's going to take 2 minutes or less, then go ahead and reply to it now. Or forward it as the case may be. It's as simple as that! And all you have left now are the emails that will take more than 2 minutes to deal with or that you want to save for future reference. And tomorrow, I'll tell you how to defer your emails or where to store the emails that you want to save.

Delegate


You can give somebody permission to go into your email inbox and reply or forward your emails for you, although this is not what I'm specifically talking about today. But if you're interested in turning over some or all of your email responsibilities, then you might want to talk to a virtual assistant. I know there are others out there and if you offer an email management service leave a comment below.

What I'm talking about is giving a particular email to a particular person to follow up for you. If your boss, a co-worker or your assistant can handle the email as well as, or better than, you...pass it on. However, don't just pass it off on someone, be sure to let them know that you want them to handle this particular email for you.

Remember our process from Monday:

  1. Delete, if you don't need to reply or forward, or if you don't need it for reference, delete it!
  2. If you need to take an action with the email, then delegate it to someone else if possible.
  3. Do it - if it'll take two minutes or less
  4. Defer it
This is what my iPhone looked like when I went to sleep:


No Mail! I moved all of my old emails into a folder called "Need to go through", except for my Gmail account where it's called "Stuff". I may rename it to something better, but that's what it is for now.

When I woke up, this is what things looked like:


I had a total of 21 emails. After unsubscribing from 8 or 10 emails and deleting others, I had 3 emails left. Since none of them were delegatable (is that even a word?), I had 3 emails left. One took about 30 seconds to respond to (Do) and 2 were more involved and I deferred them.

Delete!


If at all possible, delete every email as you get it. Don't let any email just sit in your inbox. If you don't need it, get rid of it! And unsubscribe from any subscriptions that you don't read. In fact I did that for a couple of emails this afternoon.

If you currently have a lot of emails in your inbox, create a folder and move all of your emails to that folder. Go through the folder everyday and clean it out as best you can. But more importantly, don't let your inbox fill up again. The goal is zero emails in your inbox! I have zero in my work inbox and I'm working on my personal inboxes. By the end of the week, they'll all be at zero, too.

I didn't realize when I decided what I was going to blog about today, that it's clean your inbox week! So, I'm going to share a few tips that I've picked up along the way. Actually 4 tips, known as the 4 Ds. I've seen these Ds in a couple of different orders, but I think this one is the best.

  1. Delete - if at all possible, delete any emails immediately
  2. Delegate - if you can't delete it, give it to somebody else to take care of if you can, whether it's an assistant, a co-worker or your boss
  3. Do - if you haven't deleted it or delegated it, then do whatever you have to do to get it out of your inbox, whether it's to reply or forward it. If it can be completed in less than 2 minutes
  4. Defer - if you haven't deleted or delegated this piece of email and it's going to take more than 2 minutes to do it, then defer it. But don't just leave it hanging out in your inbox. Instead schedule it as a task that needs to be completed

We'll talk about these steps more in depth during the rest of the week, but until then start doing what you can to clean your inbox this week.

Late post today! I'm actually in Paradise today, but had things to do earlier in the day.

I'm going to add a couple of more S.Y.S.T.E.M. tools today. If you don't remember what S.Y.S.T.E.M. stands for, then check out last Friday's blog post here.

Thanks to my friend, Linda Arrowwood, for reminding me about IFTTT, which stands for If This, Then That. IFTTT (www.ifttt.com) allows you to easily cause an action (That) to occur based on a particular activity (This) happening. This sequence of actions; if this, then that, is called a recipe. You can create your own recipe, or use a recipe created by someone else. I've borrowed a few recipes and modified one to do what I want. Here is a screen shot of my recipes:

The first one will Tweet "Happy New Year" at midnight on January 1st. The second will Tweet a quote from Brainy Quote everyday, and since my Twitter and Facebook accounts are linked, it also shows up in my FB feed. The 3rd will will print "It's the weekend!" at 3:30 AM on Friday, when my weekend starts. You can create recipes for just about anything. Which can be a timesaver for you. Check it out.

Here are a couple of tools to save you money. Ibotta and Checkout 51. Both of these smart phone apps will pay you a rebate on items you buy, including bread, milk, eggs, etc. Often you can get 2 rebates on the same item. Ibotta tends to have more rebates, and you can get bonus rebates based on team activity. The January bonus is an extra $5 for any person in your team who earns $10 worth of rebates in January and the total team earns rebates of at least $20. You can join my team by going to  https://ibotta.com/r/bvpriah and we can save money together. Checkout 51 doesn't have team bonuses, but you can still get good rebates. Linda Arrowwood also introduced me to both of these apps.

This is going to be the first of a series of articles on personality types.

There are many different ways to describe your personality, most of them involve taking a test. Probably the best known method is the MBTI (Myers Briggs Type Indicator), which uses 4 letters to describe you. I'm an INTP, which means I'm an Introverted, iNtuitive, Thinking Perceiver. There are 4 pairs of letters, IE, NS, TF, PJ. Each person will primarily be one letter of each pair. The letters stand for Introvert/Extrovert, iNtuitive/Sensing, Thinking/Feeling and Perceiving/Judging.

The link I posted on FB this morning gives each of the 16 types a name. I am an "Analytical Thinker" and here is part of their description of my type:

Analytical Thinkers are reserved, quiet persons. They like to get to the bottom of things - curiosity is one of their strongest motives. They want to know what holds the world together deep down inside. They do not really need much more to be happy because they are modest persons. Many mathematicians, philosophers and scientists belong to this type.

There are many more in-depth tests on the Internet, all you have to do is Google MBTI tests, but I think this test is sufficient for a quick peek.

Another method is called the Keirsey Temperament Sorter. It basically sorts the 16 MBTI types into 4 groups…NT's, NF's, SJ's and SP's. I'm in the NT category (from my MBTI type of INTP). You can take a 70 question test to determine your Keirsey type, or you can answer these 3 questions:

Do you primarily redly on your senses (S) or intuition (N)?

If you're an "S", do you prefer your life to be structured (SJ) or unstructured (SP)?

If you're an "N", do you rely on your thoughts (NT) or your feelings (NF)?

Keirsey calls the 4 types (or Temperaments) Rationals (NT), Idealists (NF),  Guardians (SJ) and Artisans (SP). iPersonic calls these same types Thinkers, Idealists, Realists and Doers.

A Rational is described as follows:

  • Rationals are abstract and objective. Seeking mastery and self-control, they are concerned with their own knowledge and competence. Their greatest strength is strategy. They excel in any kind of logical investigation such as engineering, conceptualizing, theorizing, and coordinating. The two roles are as follows:
  • Coordinators are the directive (proactive) Rationals. Their most developed intelligence operation is arranging. The attentive Masterminds and the expressive Fieldmarshals are the two role variants.
  • Engineers are the informative (reactive) Rationals. Their most developed intelligence operation is constructing. The attentive Architects and the expressive Inventors are the two role variants.

Another method is called "Character Codes" which was developed by Brandy Mychals (who lives in my area and I've met). Brandy divides people into 6 types, based on people you may remember from high school: The Class President, Cheerleader, Actor, Scholar, Activist and Artist. If you haven't guessed by now, I'm a Scholar, although Class President wasn't far behind.

And then there are colors. I've seen colors such as green, blue, gold, orange, red, yellow, etc. I've just finished reading "The Four Color Personalities of MLM" by Tom "Big Al" Schreiter. I'm Green. Which corresponds quite well with all of the above. But as the wise philosopher, Kermit the Frog, once said "It's not easy being green".

When I started this blog back in August, I didn't really know what I was going to talk about and I still really don't even at this point, hence the name "Random Musings". I knew I wanted to include the interesting days and to talk about whatever else pops into my mind on any particular day, which is usually, but not always, about business in general and network marketing in particular. I'm always looking for ways to improve this thing and I read an interesting article on writing a blog post by Michael Hyatt (see his original article here) and I was thinking about applying some of his ideas to my future blog posts. Here’s the article, let me know what you think.

Anatomy of an Effective Blog Post

Recently, my friend Philip Rothschild asked if I would write a blog post on “the anatomy of a 500-word blog post.” He said that he sensed I used some kind of template. He thought it might be something that would be valuable to others, as well as something he could use with his students.

I do, in fact, use a blog post template. I don’t follow it slavishly, but I always start with it. It includes all the elements that I have learned make for an effective post. It also helps me write faster, because it provides me with a track to run on.
My blog post template consists of six components:
  1. Compelling Title. Advertising legend David Ogilvy once said, “On the average, five times as many people read the headline as read the body copy. When you have written your headline, you have spent eighty cents out of your dollar.” This is also true with blogging. If your title doesn’t lure them, they will never get to the rest of what you say.
  2. Lead Paragraph. This is key. If you take too long on the wind-up, you will lose readers. You have to get into the premise of the post and make it relevant to your readers. After the title, this is the second most important component of your post.
  3. Relevant Image. I use images for the same reasons magazines do: I want to pull my readers into the post itself. Pictures do that. I get 90 percent of mine from iStockPhoto. (Click here for a 20% discount.) Occasionally, I use a screenshot or anembedded video or slideshow.
  4. Personal Experience. I always try to share my personal experience. Why? Because readers connect with stories. The more honest and transparent I can be, the better. In fact, my most popular posts generally come out of some failure on my part.
  5. Main Body. Everything to this point has been an introduction. I always try to make my main content scannable. I use bullets, numbered lists—and often both. This makes the content more accessible to readers and more sharable via Twitter and Facebook.
  6. Discussion Question. For the past few years, I have ended every post with a question. I don’t intend my posts to be a monologue. Instead, I want to start a conversation. As a result, I measure my effectiveness at this by how many comments I get.
I also follow a few overall rules when writing my posts:
  • Make the posts short. This is my biggest personal challenge. I have a tendency to be too thorough. Consequently, I aim for 500 words. This usually means I have to write the post and then go back and tighten it up.
  • Use short paragraphs. I try to stick to 3–4 sentences. If it’s more than this, the content looks too dense. Readers will give up and move on. (Notice how newspapers usually follow this rule.)
  • Keep short sentences. As a general rule, I try avoid compound sentences. A period gives the reader a natural stop—and a sense of progress as they pass one milestone after another. To quote a common copywriting axion, short sentences make the copy read fast.
  • Use simple words. I love language, so I am often tempted to use big words. However, I have learned to avoid this. My goal is to communicate, not to impress my readers with my vocabulary.
  • Provide internal links. I can’t say everything in one post, so I link to other posts where I have developed a thought in more detail. This has the added vantage of increasing my pageviews and session times. I think it is also genuinely helpful to my readers.
While your template might be different, it is worth outlining and tweaking as you hone your writing skills. This will allow you to write faster and more effectively.

A few days ago I talked about how important teams are in your life and how "Together Everyone Achieves More". You can view that post here.

Today, I'm going to talk about another definition of TEAM:


Those are 3 things that everyone wants more of.

Do you have a system to save yourself some time, energy and money? As you can see, the word system itself is an acronym. I first heard of this from my friend Casey Eberhart and I think it's a great reminder of what systems do for us.

There are other acronyms floating around such as "Save Yourself Stress, Time Energy and Money", but I prefer the acronym that Casey uses.

I'm still developing my system, but I do have a couple of tools that I use to save time, energy and money. The first is SendOutCards. As most of you probably know, I'm a rep for SOC. But even if I wasn't, SendOutCards is a great way to save time, energy and money. You save all 3 from just not having to get into your car and driving to H$llmark. And I guess it helps reduce stress, since you can buy a card 24 hours a day and know that it will be mailed for you the next day. Plus I believe there are over 15,000 cards available to choose from on the SOC site and over 60,000 that have been created by our users on the Sendcere site. You can choose any card on either site, or create your own if you can't find the perfect card already created for you.  And you can send any card for $1.98 plus postage without having a subscription. However, the cards are cheaper if you have a subscription. Plus, we'll remind you of every birthday and anniversary 2 weeks before they occur so you have time to get the cards sent to arrive on time!

The second tool is called Timetrade which is used to create appointments. Have you ever played email or telephone tag to try to make an appointment with someone? I use it a lot in my SendOutCards business to arrange a meeting with somebody I may have just met at a networking event. With Timetrade, I can send the person a link to one of my many schedules. There are schedules for 30 minute calls or meetings and 60 minute versions of the same. And it automatically syncs to your Google or Outlook calendars, so you never have to worry about double booking a time slot. The words in the left column are the words that I picked to describe myself and the words in the top row are the words used by the others to describe me. The idea is share yourself with others and to learn how others view you.

The Arena pane shows agreement between your self image and your public image. The Blind  Spot are those characteristics that others see in you that you may not see in yourself…and yes, there were a few that surprised me. The Facade pane shows those characteristics that you hide from others. And the Unknown pane is simply the words that weren't chosen by anybody.

So, now my Facade is open to the public and I'm now aware of my Blind Spot and I can use this knowledge to grow as a person.

I had planned on doing a different blog post today, but while watching Season 8, Episode 2 of "Psych" I was inspired by 2 things in that episode to work on this one instead. What were those two things? First, I spotted the pineapple (which I haven't done in a long time) and second, the bad guy was killing off

A-Holes



I don't think there is any way that you can underestimate the power of a team, whether it's the friends in your personal life or the members of the team in your professional life.

I'm sure that you've all heard the saying "Together Everyone Achieves More" and I personally think it's true, which is one of the things I like about network marketing. Sure, there are a few a-holes in the industry but I find that almost everyone that I talk to feels that it's better to work together as a team by helping others within their company, or even across other companies, in any way they can. Whether it's company specific, or generic, training; reaching out a helping hand or maybe even just buying products or services from another network marketer, network marketing is a team sport.

An often repeated statement about network marketing is "You're in business for yourself, not by yourself". Yes, you own your own business, but the company, its leaders and the rest of the people in the business all succeed when everyone succeeds, which is just the opposite of what most people are used to in the corporate world.

So, you can be an a-hole or you can achieve more...I don't think you can successfully do both.

This is a continuation from something I posted on Facebook a couple of days ago.

Unfortunately my post was imported from Twitter and part of my comment was cut off. It should've said "I think this is an interesting article. Whether you like it or not, your success at work, in business or in life requires networking."

One of the comments posted after the article talked about how the economy would fail if everybody spent 90% of the time marketing and creating their brand and only 10% of the time working. However, I felt that he missed the point. If you're happy where you are in your job or business, you don't need to change anything. But if you want to advance at your job or grow your business, then you better be more strategic as to how you go about it.

Suppose that you have a job, but you feel it's time to move up to the next level. What do you do? According to the article, you should divide your effort between networking, building your personal brand and work. 

Let's say that you decide to spend an extra 10 hours a week doing things to advance your career. 

Hang out with your boss and his or her boss for 6 of those hours. Do things to help them with their work. Make your usefulness visible. But don't hang out with them just at the office, but go to the Friday afternoon after work "meeting" at the local pub, go to public events that they attend. Become a recognizable face in their world. However, I'm not recommending that you stalk them.

Spend the next 3 hours developing the look and feel that will allow you to fit in with your proposed peers. If you look and act like them, they'll be more comfortable with you as a peer. You don't have to copy them, but if they all wear Dockers and Polo shirts and you always wear jeans and a t-shirt, they won't see you as one of them.

And for your final hour you can do the additional work that shows that you're willing to go above and beyond.

Now suppose that you have a business, whether network marketing/direct sales or something a little more conventional. If you want to grow your business, you again need to put in the extra time and effort that it takes to grow it.

If you're working at a full time job and running a business on the side, or working your business full time, you need to network, brand and work.

You decide you're able to put in 20 hours per week to grow you business. How are you going to spend your time?

You need to spend about 12 hours a week going where your prospective clients/customers are, whether it's at a chamber mixer, a BNI or Successful Thinkers meeting, or a 1:1 meeting with a prospect - you need to get out and meet them.

Next, spend about 6 hours a week developing your personal brand. Are you going to be Walmart or Nordstrom? Also, you again want to make your customers feel at ease around you. If your prospects are CPAs, you don't want to dress like an auto mechanic or vice versa. Next week, I'll be writing more about branding yourself.

And the last 2 hours you can spend doing paperwork or self-motivation.

So remember…60% networking, 30% personal branding and only 10% doing additional work.
